Position Summary:

The Programs and Operations Specialist serves as a support to the day-to-day activities of the Community Programs and Civic Leadership team. This role requires strong communication skills, initiative, organization, attention to detail, follow-up and responsiveness. The position of Program and Operations Specialist in Community Programs and Civic Leadership often requires a high level of prioritization, flexibility and autonomy in an environment of competing priorities and demands. This position also acts as a subject matter expert for the Community Programs and Civic Leadership team.

Duties and Responsibilities:

Community programs and civic leadership support:
• Serve as a global administrator and active participant in the quality control process of the Community Force grants system, including the establishment of new clients, initiatives and funds. Support the Community Programs and Civic Leadership team as the CommunityForce Manager.
• Assist with grant processing, application management, reporting, creation of spreadsheets, including travel and attendance at some regional council meetings
• Enter and maintain customer data in FFTC central systems (Blackbaud) and update as needed
• Provide support to the Community Programs and Civic Leadership team (including Regional Affiliates) for all projects undertaken by the team, as required
• Special projects and cross-departmental support according to assignments
• Serve as a replacement for the receptionist as needed

Subject matter expert role:
• Act as the community programs and civic leadership team lead in project teams including Promapp and Wrike
• Responsible for the ongoing management, maintenance and review of business processes and documentation using business management software.
• Responsible for documenting and updating process changes
• Strategically identify where processes can be improved in the systems used by the Community Programs and Civic Leadership team
• Collaborate with other subject matter experts to identify and resolve inefficiencies across teams
• Train users on basic systems or identify the need for training and develop an implementation plan
• Work with IT Business Liaison to coordinate needs with vendors

Additional Responsibilities:
• Collaborate with other grants staff and relationship managers as needed

Professional qualifications:
• College degree preferred (not required) or relevant work experience
• Familiarity with Blackbaud suite products preferred (not required)
• Proficiency in Microsoft Word, Excel, Outlook and PowerPoint
• Responsive and service-oriented working style
• Strong organizational and planning skills
• Ability to multi-task, work under pressure and meet deadlines
• Ability to work both independently and as part of a team
• Strong communication skills with customers and employees
• General ability to perform the essential functions and the overall physical and mental demands of this position, including the stamina to perform tasks for extended periods of time and the ability to travel occasionally to complete tasks or travel from a job site and/or from one workstation to another
